RentPilot tenant document handover checklist for England

This checklist helps landlords keep an evidence-led record of documents provided to tenants in England. It is not legal advice.

Before move-in
- Prepare the tenancy agreement and any supporting terms.
- Check current written tenancy information requirements for the tenancy.
- Check whether the official Renters' Rights Act Information Sheet applies. Where required, supply the exact official PDF, not just a link.
- Prepare the EPC and store the version provided.
- Prepare the gas safety record where relevant.
- Prepare electrical safety information where relevant.
- Prepare repair reporting instructions and landlord contact details.

Deposit stage
- Record the date and amount of any tenancy deposit received.
- Protect the deposit in an approved scheme where required.
- Serve prescribed information within the required timescale.
- Store scheme confirmation, prescribed information, and proof of service.

Handover evidence
- Record how each document was delivered.
- Keep email receipts, portal logs, signed acknowledgement, or other dated evidence.
- Store the exact versions sent to the tenant.

Ongoing updates
- Send replacement certificates or updated documents when needed.
- Record the date, method, and recipient.
- Review the document pack before renewal, re-letting, or possession-related decisions.

Record fields for each item
- Document name and exact file/version.
- Tenant recipient, date provided and delivery method.
- Where proof of delivery is saved.
- Outstanding action, responsible person and next action date.
- Not applicable items and the reason they do not apply.

Keep Right to Rent check evidence privately in the landlord's records, separate from the tenant's pack. This checklist is not the government's Information Sheet or a tenancy agreement.
